Wedding & Banquet Policies

The following information will familiarize our Members, guests, and party planners with club policies and procedures associated with private functions.

We appreciate your interest in hosting your event at The Club at Eaglebrooke. The following policies are intended to familiarize our members, guests, and event planners with our guidelines for private functions. These policies help ensure a successful and enjoyable experience for all parties involved.

Food & Beverage Policies

Per club policy no outside food or beverage may be brought onto Club property for consumption, except for specialty cakes or desserts approved in advance. Leftover food and beverage items provided by the Club may not be removed from the premises.

Billing & Deposits

A non-refundable deposit equal to the room rental fee is required, along with a signed contract and damage waiver, to reserve the event date. The deposit is applied toward the event’s final balance. Any payments made prior to the event may be refunded at the discretion of Club management. Final payment for all charges is due on or before the conclusion of the event. We accept payment by cash, check, or credit/debit card.

Menu Requirements

The Club at Eaglebrooke is committed to delivering exceptional food and beverage service. Events with 10 or more guests are required to select a set menu to ensure high-quality service and efficient preparation. Final menu selections must be submitted no later than 30 days prior to the event date.

Our menus are provided as guidelines and may be customized. Our Executive Chef is happy to assist with personalized menu design and dietary accommodations, which will be priced accordingly. Last-minute requests will be honored to the extent possible but are not guaranteed.

Please note: The Club does not guarantee the quality of food served beyond a 15-minute delay from the contracted service time. Delays may compromise the integrity of the meal.

Service Charge & Sales Tax

All food and beverage charges are subject to a 22% service charge and 7% Florida sales tax, in accordance with state regulations.

Guest Count Guarantee

A final guest count (“guarantee”) is required no later than 14 days prior to the event. Increases within 5 business days may be accepted but are subject to menu availability and Chef approval. Decreases within that window cannot be accommodated for billing purposes.
The Club will charge for the greater of the final guaranteed number or the actual number of guests served. If no final count is received, the last provided estimate will be used as the guarantee. It is the client’s responsibility to confirm the final guest count in writing.

Outside Vendors

We are pleased to offer a list of preferred vendors for services such as:

  • Audio-Visual
  • Entertainment
  • Floral & Décor
  • Photography
  • Valet Parking

While we are happy to assist with coordination, The Club at Eaglebrooke does not assume responsibility or liability for services rendered by third-party vendors.

Decorations

The Club may have seasonal décor in place during certain times of the year. Clients are welcome to bring in additional table décor and displays. Set-up and removal of any decorations brought in by the client are the sole responsibility of the event host and must be completed immediately following the event.
For safety and preservation of Club property:

  • Decorations may not be affixed to walls, ceilings, or doors using nails, staples, or permanent adhesives.
  • Glitter and open-flame candle sticks are not permitted.
  • Enclosed candles (e.g., votives or tea lights in holders) are allowed.

Banquet Facilities & Rental Fees

Members of The Club at Eaglebrooke are not charged one room rental fee during standard Club operating hours. Events exceeding the four-hour time limit will incur additional fees.
Room Rental Rates (4-Hour Duration):

  • Boardroom: $150
  • Additional Rental Time Per Hour: $150
  • Private Dining Room: $200
  • Main Dining Room: $600
  • Ballroom Section (1, 2, or 3): $600 each
  • Full Ballroom (all three sections): $1,800
